SCAN ACCESSORY KIT
This guide describes operation procedures to be used after you have installed the MX-AP14 scan accessory kit on the machine.
CAUTIONS
Keep the following in mind when using this kit.
z Depending on the condition of the document that is scanned, some characters
or figures may not be correctly recognised and reproduced.
z The optical character recognition (OCR) function provided by installing this kit
on the machine is intended to allow you to edit and reuse data that has been
scanned and saved from documents. We do not guarantee that this function
will precisely reproduce the characters and figures contained in the scanned
document.
z Blank pages may not be detected as blank pages if the content on the reverse
side is visible from the other side, or if the page is stained. Also, the top side of
the document may not be correctly recognised as the top side.
z Embedded text may not be reproduced in exactly the same position due to
the difference in character pitch between the embedded text and the text that
surrounds it.
z Double-byte characters may be recognised as single-byte characters, and vise
versa. When searching for text embedded in a PDF file using browser software,
configure the software so that double- and single-byte characters are not able
to be distinguished from each other.
z The document orientation detection function may not work correctly in the
following cases:
- The document is not placed in position.
- Patterns or decorations covering the entire document are used.
- The directions of text are inconsistent.
- Character decorations such as italics and strike-through are used.
- Handwritten characters are used.
z When the document orientation detection function is turned off, place the
document in an orientation where scanned characters are recognised as being
in the normal direction.
z When the document orientation detection function is turned off, pages placed in
different orientations are not detected. Be sure to place all pages in the correct
orientation.
z Even if the language to be recognised (OCR language) has been specified,
words or phrases may not be correctly recognised depending on the characters
used.
z When the Searchable PDF, PDF/A-1a, RTF, TXT (UTF-8), DOCX, XLSX, or
PPTX format is selected, a resolution of 200x200 dpi or 300x300 dpi can be
selected.
z The machine is connected to the network via this kit. Therefore, the print
function of the machine cannot be used when this kit is turned off.
z To ensure security, it is recommended that you periodically change the
password.
z To maintain performance, it is recommended that you restart the machine by
turning the main power off and on once a day, such as at the start of work.
z For pages that do not contain any objects to be recognised as characters, a
normal PDF file is generated.
z When multiple pages are loaded consecutively, the scanning process for the
second and subsequent pages may take some time depending on the sheet
size of the document or the resolution setting.
FUNCTIONAL ENHANCEMENTS
Installing this kit provides the machine with the optical character
recognition (OCR) function, as well as the following additional functions.
Functional Enhancements
z The optical character recognition (OCR) function enables you to save scanned
data as text.
The following format is added to the machine as a storage format.
Searchable PDF, PDF/A-1a, RTF, TXT (UTF-8), DOCX, XLSX, and PPTX
* Files can be saved in all colour modes.
z The optical character recognition (OCR) function is available when you use the
image transmission function to send a facsimile or an image, or file a document.
z The optical character recognition (OCR) function detects the correct text
orientation and enables you to correct the orientation of each page in 90-degree
increments. (Document orientation detection function)
OCR-supported languages
Characters of the following languages can be recognised:
Japanese, American English, British English, German, French, Spanish, Italian,
Dutch, Catalan, Swedish, Norwegian, Finnish, Danish, Czech, Polish, Hungarian,
Greek, Russian, Portuguese, Turkish, and Slovak
Restrictions
Note the following when saving a file in a format that is newly supported as a result
of installing this kit.
z For PDF/A-1a, its format is only supported. Users need to edit the PDF/A-1a
settings.
z When the Searchable PDF, PDF/A-1a, RTF, TXT (UTF-8), DOCX, XLSX,
or PPTX format is selected, none of the combinations between "High
Compression", "Encryption", and "Bk Letter Emphasis" can be selected.
z When the Searchable PDF, PDF/A-1a, RTF, TXT (UTF-8), DOCX, XLSX, or
PPTX format is selected, a resolution of 200x200 dpi or 300x300 dpi can be
selected.
When 100x100 dpi or 150x150 dpi has been selected, it is changed to 200x200
dpi. When 400x400 dpi or 600x600 dpi has been selected, it is changed to
300x300 dpi.
